Overview
Provide comprehensive administrative and liaison support to the Chief of Mission (COM) in Chad, facilitating government relations, meeting coordination, and document management.
Key Responsibilities
- Assist COM in government liaison with ministries, UN agencies, donors, and partners
- Organize and coordinate meetings for COM
- Draft and review correspondence for COM
- Organize and facilitate conferences, workshops, and visits
- Arrange appointments and manage COM’s calendar
- Prepare and coordinate briefing materials for COM’s meetings and missions
- Collate and review documents prior to COM’s signature
- Prepare COM’s duty travel
- Ensure record keeping and maintenance of correspondence and documents
- Assist with administrative work of COM’s office
- Draft IOM administrative documents
- Serve as Interpreter and translate documents informally
- Manage confidential information
- Set up, coordinate, and flag internal and external meetings
- Liaise with units for briefings and documents
- Provide administrative support to COM and relevant units
- Monitor and maintain record of government contacts and diplomatic corps
- Perform other related duties as assigned
Required Experience
- Prior experience in liaising with governmental authorities, national/international institutions, United Nations agencies and non-governmental organizations
- Experience working with administration
- Experience writing summary reports, meeting minutes
- Experience in public relations, liaison and communication will be an advantage
Qualifications
- Bachelor’s Degree in Business Administration, Social Sciences or related field with higher responsibilities to senior management, preferably in an international organization with four years of experience; or
- High School degree in the above fields with minimum of six years of relevant professional experience
