Overview
The Supply Chain Assistant will provide support to DRC’s Supply Chain and administrative operations, primarily focused on procurement, warehouse and asset support, fleet coordination, and premises maintenance, contributing to the efficient, compliant, and timely implementation of supply chain activities.
Tasks Summary
- Ensure all procurement orders are tracked from planning to delivery.
- Prepare and process procurement documentation.
- Collect quotations and support local procurement.
- Assist in organizing, scanning, and filing procurement documentation.
- Conduct local market surveys and price benchmarking.
- Participate in bid and proposal evaluation.
- Assist in supplier communication and follow-up.
- Participate in verification and inspection of procured goods.
- Support preparation, verification, and quality/quantity confirmation of Goods Receipt Notes.
- Oversee and support deliveries to and dispatches from warehouses.
- Maintain coordination with warehouse staff.
- Ensure assets are recorded, tagged, and supported during verification.
- Apply and support ERP supply chain processes.
- Provide support to emergency procurement processes.
- Assist with physical verification, stock counts, and spot checks of warehouse items.
- Support labelling, tagging, and recording of assets.
- Assist in preparation, organization, and filing of asset documentation.
- Support physical arrangement, movement, and storage of stock and equipment.
- Coordinate and track handover and return of assets.
- Conduct and support physical asset verification exercises.
- File asset documentation and archive scanned records.
- Support fleet management activities.
- Coordinate and update daily vehicle movement plans and records.
- Support vehicle, fuel, and generator tracking.
- Compile fuel consumption reports and support vehicle utilization analyses.
- Assist in tracking vehicle insurance, registration, inspection, and validity documents.
- Scan, upload, and file fleet-related documentation.
- Provide support during emergency fleet mobilization.
- Assist with premises inspections.
- Record, monitor, and report issues related to power sources.
- Monitor and log daily solar system readings.
- Support switching between power sources.
- Assist in coordinating basic repairs and maintenance activities.
- Maintain logs and inventories of premises-related tools and supplies.
- Support office safety and closing routines.
- Provide basic translation support (Arabic–English–Arabic).
- Perform data entry, archiving, and filing tasks.
- Assist in physical preparation and arrangement of venues for meetings, trainings, and workshops.
- Perform any other supply chain or administrative duties as assigned.
Experience Requirements
- Minimum of 1–2 years of relevant experience in supply chain, logistics, procurement, or administrative support, preferably within I/NGOs or humanitarian organizations.
- Basic knowledge of procurement and logistics processes, including purchasing, inventory management, and supplier coordination.
- Experience in preparing and maintaining procurement and logistics documentation, including purchase requests, quotations, delivery notes, and filing systems.
- Ability to support asset tracking, warehouse records, and stock management.
- Experience with ERP or logistics systems is an advantage.
- Basic understanding of transportation and fleet support activities is an asset.
Qualification Requirements
• University degree in Supply chain, Business Administration, Accounting, or a related field.
