Overview

Provide high-level administrative and logistical support to the Director of the Directorate People: Health and Society within the Directorate-General for Research and Innovation.

Tasks Summary
  • Assisting the Director in organisational matters of the Directorate and its overall management
  • Ensuring the follow-up of Director’s decisions
  • Ensuring the coordination of tasks related to issues involving Directorates’ units; coordinating and follow up on briefing requests
  • Ensuring a broad communication within the Directorate
  • Supervising the Directorate’s mission budget
  • Assisting the Director by managing their agenda, phone calls, e-mails, and documents using IT tools
  • Arranging meetings, coordinating logistics, and receiving visitors
  • Coordinating comprehensive document management, including follow-up and ensuring all deadlines are met
  • Preparing and organizing the Director's missions
  • Supporting the Director with human resources and time management; organising of yearly appraisal dialogues, serving as a contact point with the HR Correspondent
  • Team support: serving as back-up for the other administrative assistant
Experience Requirements

Appropriate professional experience of at least three years if secondary education is the highest qualification.

Qualification Requirements
  • A level of post-secondary education attested by a diploma OR
  • A level of secondary education attested by a diploma giving access to post-secondary education
Other Details

Languages Required: • A thorough knowledge (minimum level C1) of one of the 24 official languages of the EU • AND a satisfactory knowledge (minimum level B2) of a second official language of the EU, to the extent necessary for the performance of the duties.

Languages Preferred: Good knowledge of French would be a significant asset.

Contract Duration: The duration of the first contract will be 1 year. Subject to the interest of the service, the contract may be renewed one or more times up to a maximum duration of 6 years.

Work Modality: The place of employment will be in Brussels.

Remuneration: The grade or proposed grade range, as well as the step in that grade, will be defined on the basis of the candidates’ previous professional experience. The pay of staff members consists of a basic salary supplemented with specific allowances, including, where applicable, expatriation and family allowances.
