Overview

The Administration and ICT Senior Associate will provide administrative support to operations within UNOPS Somalia Country Office (SOCO), ensuring efficient and effective service delivery.

Tasks Summary
  • Coordinate administrative services, including office and accommodation facilities, and client services.
  • Monitor performance against service agreements and assess client satisfaction.
  • Implement control mechanisms for administrative facilities services and maintain administrative control records.
  • Oversee inventory control, including issuance and tracking of items and supplies.
  • Manage office premises, liaising with building management and overseeing maintenance and repair works.
  • Process and monitor administrative payments and vendor invoices.
  • Oversee the management of office stationery, supplies, and non-expendable assets.
  • Support the organization of meetings, workshops, and official events.
  • Review facilities authorizations and supporting documentation.
  • Serve as a designated transactional role in the ERP system.
  • Compile data and research information to support financial resource planning and administrative budgets.
  • Support the provision of efficient and effective ICT client services administration.
  • Implement ICT and operational strategies compliant with UNOPS rules and policies.
  • Provide fast, friendly, and effective user support.
  • Maintain inventory of all ICT equipment, computer, telecommunication equipment, I/O devices and software.
  • Ensure effective functioning of all UNOPS hardware equipment and acquisition of hardware supplies.
  • Maintain network and internet connectivity.
  • Support management of information and communication services.
  • Support project implementation activities involving ICT, hardware and software procurement, and supplier roster establishment.
  • Participate in knowledge-sharing initiatives and Communities of Practice.
  • Conduct research on administration-related topics and contribute to drafting reports.
Experience Requirements
  • A minimum of seven (7) years of relevant experience in administration or office management or facilities management or ICT support including ICT user support and ICT administration or hardware installation and troubleshooting with ICT equipment inventories, is required with a secondary education.
  • Bachelors degree or equivalent in Business Administration, Public Administration, Management, Engineering, Information Technology, Computer Science, or a related field may substitute for three (3) years of required experience.
  • Experience in enterprise resource planning (ERP) systems for transactional processing and administrative monitoring is desirable.
  • Experience working with international organizations, UN agencies, or similar multilateral environments is considered an advantage.
  • Experience in monitoring service delivery and maintaining administrative records is an asset.
  • Knowledge of UN administrative procedures, asset management, and procurement practices is desirable.
Qualification Requirements
  • Required Secondary school (or equivalent) with 7 years of relevant experience OR Bachelors degree or equivalent in Business Administration, Public Administration, Management, Engineering, Information Technology, Computer Science, or a related field with 3 years of relevant experience is required.
  • Globally or nationally recognized professional certificates in ICT management may be considered in lieu of a degree.
  • Desired Relevant technical or professional certifications in ICT administration, or information systems (e.g., Microsoft, network administration, or similar) would be considered an advantage.
