Overview

The Project Assistant will participate in the implementation of programme and project activities concerning Sweden-bound refugees, focusing on administrative procedures and logistics.


Key Responsibilities
  • Support the day-to-day organization and implementation of project activities, including administrative procedures for trainings.
  • Handle logistics and liaison with consultants and IOM missions.
  • Prepare and process travel authorizations and expense claims.
  • Coordinate travel arrangements.
  • Assist in ensuring compliance with procurement to payment process flows.
  • Assist with general administrative tasks in connection with financial, travel, and human resources systems.
  • Enter beneficiary attendance, feedback, and relevant data into IOM databases.
  • Assist in monitoring the work of implementing partners and report non-compliance.
  • Assist in analysis of data, coordination, and preparation of donor reports.
  • Respond to general information requests and inquiries on administrative issues.
  • Set up and maintain files/records.
  • Undertake duty travel, as necessary.
  • Perform other related duties as assigned.
Required Experience
  • Two years of relevant professional experience with a University Degree in social sciences, administration, migration studies, or international relations.
  • OR Four years of relevant professional experience/training with a completed High School degree.
  • Administrative experience, including organizing logistics, maintaining records, and supporting reporting processes.
  • Proficient in Microsoft Office applications.
  • Previous experience in Oracle similar administrative/financial systems is an advantage.
  • Experience in working with migrants, refugees, internally displaced persons, victims of trafficking and other vulnerable groups.
  • Prior work experience with international humanitarian organizations, non-government or government institutions/organization in a multi-cultural setting is an advantage.
  • Prior experience and/or interest in compiling and analysing data.
  • Prior experience of customer service is an advantage.
  • Prior experience of drafting written material in English.
Qualifications
  • University Degree preferably in social sciences, administration, migration studies, or international relations.
  • OR Completed High School degree from an accredited academic institution.
