Overview

The Senior Business Support Associate is responsible for the coordination, monitoring, planning, and execution of standardized tasks for operational support, ensuring compliance with UNICEF regulations and procedures. This role manages the work of the Business Support Unit and impacts support services for the entire Supply Division.


Key Responsibilities
  • Coordinate and monitor operational support tasks.
  • Manage the work of the Business Support Unit.
  • Support compilation and coordination of work products, ensuring deadlines are met.
  • Represent the supervisor in communications involving non-routine information.
  • Provide guidance and directions to temporary or lower-level staff.
  • Lead and enable the team to deliver support and services.
  • Monitor, plan, and guide the work of the BSU, focusing on quality assurance and service delivery for people and culture, financial and budget monitoring, procurement, events, travel, and knowledge management.
  • Conduct quality checks and monitor service efficiency.
  • Act as a focal point for troubleshooting unit-related issues.
  • Provide project management support and engage in cross-functional initiatives.
  • Oversee rapporteur support services for statutory committees.
  • Carry out duties with a focus on complex queries.
  • Ensure the BSU is adequately trained and skilled, with efficient workload distribution and measurable outputs.
  • Ensure the availability and effective use of ticketing systems.
  • Prioritize BSU activities and coordinate internally and externally.
  • Communicate and coordinate BSU activities with stakeholders.
  • Stay abreast of internal and external developments, prepare analysis, and lead change management.
  • Analyze process functions, prepare proposals for service integration, and lead process innovation.
  • Serve as backup for other colleagues and the Admin Manager.
Required Experience
  • A minimum of 7 years of relevant administrative or clerical work experience is required.
  • Experience supervising people and teams is highly desirable.
  • Relevant experience at country level, particularly in development, fragile settings and humanitarian contexts is desirable.
Qualifications

• Completion of Secondary Education is required, preferably supplemented by technical or university courses related to the field of work.

• Fluency in English is required.
Languages Preferred
• Knowledge of another official UN language (Arabic, Chinese, French, Russian or Spanish) or a local language (Danish) is an asset.
