Overview

Provides administrative, finance and operations support for the Markets for Change (M4C) project in Samoa. Supports management of the project focusing on financial management, resource tracking, and reporting.


Key Responsibilities
  • Provides support to the Country Lead and Regional Finance Officer in the financial management of the project.
  • Provides guidance on routine implementation and tracking of financial resources.
  • Provides information for audit requirements and supports implementation of audit recommendations.
  • Organizes, compiles, and processes information for databases, documents, and financial management systems.
  • Supports tracking and reporting on mobilized resources.
  • Prepares non-PO vouchers.
  • Maintains internal expenditures control system.
  • Takes corrective actions on un-posted vouchers.
  • Makes budget checks for requisitions, POs, and vouchers.
  • Creates requisitions and registers goods receipts in GST.
  • Processes payment requests and prepares GST reports.
  • Checks supporting documents for payments and financial reports.
  • Ensures a register is generated to track payments and reviewed monthly.
  • Prepares and handles routine correspondence related to administration, procurement, financial, and personnel matters.
  • Provides administrative and logistic support for conferences, training workshops, retreats, and missions.
  • Ensures all supporting documents on financial transactions are secured and properly filed.
  • Liaises with Field Office focal point in following up on FACE forms.
  • Develops an efficient filing system.
  • Supports drafting of minutes, invitation letters, and preparation of documents for meetings.
  • Prepares monthly financial reports and tracks expenses.
  • Provides support to the Regional Finance Officer on financial management.
  • Provides support in creating a knowledge hub for the M4C Project.
  • Provides support to the facilitation/organizing of trainings for project staff.
  • Synthesizes lessons learned and best practices.
  • Makes sound contributions to knowledge networks and communities of practice.
  • Uses UN Women MCO share point as a repository site.
  • Maintains copies of mission reports and prepares tracking sheets.
  • Maintains records of M4C narrative and financial reports, audits, monitoring plans, minutes, and agreements.
Required Experience
  • At least six (6) years of progressively responsible experience in administrative or programme management and support.
  • Experience in working in a computer environment using multiple office software packages is required.
  • Experience in the use of ERP systems, preferably Oracle Cloud, is desirable.
  • Experience in supporting a team is desirable.
Qualifications
  • Completion of secondary education is required.
  • Bachelor’s degree in Business or Public Administration is an asset; but is not a requirement.

• Fluency in written and spoken English is required.
Languages Preferred
• Knowledge and understanding of the local language in the duty station is an asset.
