Overview
The Supply Chain Intern supports the logistics unit with asset and warehouse management and processes procurement requests for goods and services for country and field offices, ensuring delivery to programs.
Key Responsibilities
- Support with receiving goods in the warehouse, verifying quantities against delivery notes, and liaising with Program for inspection.
- Provide cover in the warehouse for releasing program stock for distribution, arranging the warehouse, and updating bin cards.
- Support planning and arranging dispatch of stock to field offices.
- Support updating stock movements in TIM.
- Support dispatching stock items to field locations, ensuring all documentation is available and correctly entered.
- Support analysis and checking of fleet data on running costs, utilisation, and recharging.
- Support review of rotation and fair distribution of field hired vehicles and reporting gaps.
- Support in handling incident/accidents’ insurance claims and negotiation of insurance benefits.
- Support in consolidation of fleet related procurement, such as tires, across field offices.
- Support in tagging new assets and updating the asset register.
- Support in ensuring staff allocated new assets have signed the asset issue form.
- Support with draft catalogue generation for upload in ProSave.
- Compile fully signed FWAs and share with Supply Chain Officer for Upload in ProSave.
- Support with Registration of Suppliers in Prosave.
- Obtain quotations or supply bids in line with SC procurement thresholds and policy.
- Complete competitive bid analysis and obtain required approvals.
- Support in processing invoice payments, ensuring all stages of the procurement check list are completed.
- Ensure all Supply Chain documents, policies, waivers and contracts are correctly filed.
- Ensure all asset issue forms are correctly filed and easily accessible.
- Ensure all signed asset verification reports are well filed.
- Ensure all beneficiary signed distribution lists and donation certificates are correctly filed.
Required Experience
- At least 3-6 months experience in supply chain areas-Procurement, Warehousing and Logistics
- Should have successfully completed an industrial attachment in an institution
Qualifications
• Diploma/Degree or equivalent and professional training in supply chain management
