Overview
The Senior Operations Assistant (Field Support, Airport) is responsible for coordinating teams undertaking field support activities at assigned airports to ensure the safe, dignified, and humane movement of beneficiaries.
Key Responsibilities
- Coordinate teams of up to eight POE staff members undertaking field support activities.
- Act as key liaison among supervisors and movement operations teams.
- Coordinate airport assistance, including verification of travel documentation, airport formalities, escorts, and movement notifications.
- Coordinate team members assisting individuals throughout their stay at assigned areas.
- Track flight data and ensure team members are updated on departure times, delays, and cancellations.
- Create weekly shift schedules and assign tasks.
- Liaise with government agencies, airlines, service providers, and airport authorities.
- Address issues related to arriving flights, transit, ground transportation, and hotels.
- Coordinate with relevant units, partners, and vendors for unexpected issues.
- Assist with liaising with the Medical Department on incoming escorts and special medical projects.
- Report trending incidents, non-compliant incidents, best practices, and lessons learned.
- Train team members on work management, quality assurance, and monitoring.
- Support fulfilling training requirements and facilitate onboarding and refresher trainings.
- Coordinate quality assurance checks of relevant data.
- Support staff development processes, including hiring, training, assigning duties, and providing feedback.
- Undertake duty travel as needed.
- Maintain confidentiality and integrity of information.
- Alert management of any non-compliance to SOPs or codes of conduct.
Required Experience
- University degree with four years of work experience; or completed secondary education with six years of relevant working experience.
- Prior airport operations experience is a strong advantage.
- Experience working in a multi-cultural setting.
- Familiarity with IOM policies, USRAP guidelines, POE SOPs, and IOM systems and tools are strong advantage.
Qualifications
- University degree in a related field from an accredited academic institution; or
- Completed secondary education.
