Overview
The Supply Chain Officer ensures that orders are handled efficiently and effectively to meet needs in the field. S/He also makes information about potential or firm orders available to other logistics departments and those requesting the services.
Key Responsibilities
- Regularly provide an update of orders to customers, especially concerning problem items and anticipated delayed deliveries.
- Initiate report for items on order to make sure that they are processed for sourcing, picking, packing and shipping.
- Follow up on movement of goods and transportation.
- Investigating, solving, and following up customers complaints.
- Back-order review and order completion follow up.
- Identify any mismatch between the ordered quantities and the packaging sizes to avoid the available items to remain on backorders.
- Follow up of urgent or stock medical / nonmedical items with Procurement team.
- Improving / implementing customer service procedures, policies, and standards.
- Follow up of import / export permits.
- Monthly review of short expiry items and offer them to the customers before expiry to avoid their destruction.
- Identify slow moving items and propose them to customers.
- Follow up on obsolete items, remove them from the orders and replace them with another available alternative.
- Kitting – creation of work orders, components reservation, and monitoring stock levels.
- Participate in warehouse stock taking and reconciliation.
Required Experience
Typically, 3–5 years of relevant experience in: Supply chain management, Procurement and purchasing, Warehousing, Inventory management, Transport and distribution. Experience with humanitarian organizations, NGOs, UN agencies, or international organizations is preferred.
Qualifications
Bachelor's degree in one of the following: Business Administration, Commerce, Engineering or related Field. Professional certifications is an advantage, such as: CIPS (Chartered Institute of Procurement & Supply), APICS / ASCM certifications, Other procurement and logistics certifications.
