Overview
Provides administrative and financial support to a project focused on transitioning Trinidad & Tobago towards a net-zero, nature-positive economy. Ensures administrative and financial coherence with the wider portfolio, with a key element being procurement, financial management, and reporting.
Key Responsibilities
- Support procurement processes.
- Undertake financial and administrative tracking of activities and expenses.
- Assist with communication, facilitation, and organization of outreach activities, press releases, and briefing notes.
- Maintain records of project funds and expenditures.
- Review project expenditures for compliance with Project Documents and financial rules.
- Validate and certify reports and financial forms.
- Provide necessary financial information for project management decisions and audits.
- Review annual budgets and project expenditure reports.
- Consolidate financial progress reports.
- Liaise with responsible parties regarding project funds and financial progress reports.
- Provide support with financial and administrative requirements of the project and related portfolio activities.
- Assist in ensuring timely and appropriate project execution.
- Facilitate and guide the work of the national team.
- Manage payment schedules.
- Assist in project-related activities, including planning for meetings, consultations, and trips.
- Handle travel arrangements for national travel/missions and participants to national-level workshops.
- Handle travel procedures for participants to global and regional workshops and international meetings.
- Document and share records of meetings, decisions, and actions.
- Support Monitoring and Evaluation of the project at the national level.
- Support the management of the project budget.
- Support the team lead in project-related procurement and accounting procedures.
- Ensure efficient and timely disbursement of project financial resources.
- Maintain records of expenditures and collaborate in financial reporting.
- Develop calculations for the annual workplan/budget.
- Handle procurement processes, requisitions, and purchase orders.
- Maintain an inventory of assets/equipment.
- Support the setup of the Quantum approval system.
- Handle logistical matters for workshops and meetings.
- Regularly update the procurement plan and contacts list.
- Participate in training on internal procedures.
- Provide support to the organization of training and capacity building activities.
- Make contributions to knowledge networks and communities of practice.
Required Experience
Minimum of 5 years (with secondary education) or 2 years (with bachelor’s degree) of experience in administrative support and financial management preferably within a project management setting or an organization focusing on environmental, climate, or sustainability projects. Experience in dealing with national experts and international institutions.
Qualifications
Secondary education required. Or A university degree (bachelor´s degree) in Environment, Finance, Business Administration or related field will be given due consideration, but it is not a requirement.
