Overview
Responsible for planning, controlling, and coordinating the allocation and use of Agency vehicles and drivers to ensure efficient transport operations.
Key Responsibilities
- Plans, controls and coordinates the allocation, operating schedule and other use of Agency vehicles and drivers in a cost effective and rational manner;
- Monitors and executes ERP and agency fleet management systems (Feetwave, Fleetlog) to ensure efficient and up to date record keeping and efficient use of the Fleet is maintained;
- Ensures the care, custody, cleanliness, safety and effective utilization of Agency vehicles and fuel is maintained.
- Enforces vehicle movement discipline, undertakes spot checks to ensure compliance with the agency standards instructions, damage reporting, and safety breaches have been correctly reported and investigated;
- Prepares investigation reports, manages losses, mishandling and damages involving Agency vehicles as well as dealing with insurance agents and prepares survey reports as and when required;
- Prepares and maintains accurate records in relation to drivers’ responsibility, travel subsistence and other allowances.
- Administers the issue of transport permits for home/office home transport in coordination with other departments as necessary.
- Ensures all charges for home/office/private transport are accounted for and coordinates with Finance to recover charges from Staff Members as necessary;
- Plans and obtains vehicles licensing, and ensures that all Agency drivers are licensed to drive assigned vehicles.
- Manages and supervises the armored vehicles transportation programs in coordination with Safety and Security Section and ensures safety measures are applied by both drivers and passengers;
- Utilizes the budget transaction within ERP to assist the Fleet Management Officer in preparing the annual budget for the vehicle control operations;
- Oversees the surveying and disposal of the old fleet in line with the property manual;
- Performs other duties as may be assigned by the supervisor.
Required Experience
Minimum of three years of relevant experience in logistics, vehicle and transport management related function. Experience in managing vehicle insurances, overseeing and scheduling vehicle inspections is required. Experience in vehicle registration and disposal/ write off processes and procedures including obtaining approvals with relevant authorities is required.
Qualifications
A university degree from an accredited educational institution in transportation management, business administration, public administration, commerce or other related field.
