Overview

Provide back-office and administrative support to the BRIDGE project, assisting with financial, administrative, and logistical requirements to ensure timely and appropriate project execution.


Key Responsibilities
  • Provide support with financial and administrative requirements, including project funding and accounting.
  • Assist in ensuring timely and appropriate project execution.
  • Facilitate and guide the work of the national team and manage payment schedules.
  • Assist in project-related activities, including planning for meetings, consultations, and trips.
  • Ensure smooth organization of national and international travel.
  • Document and share records of meetings, decisions, and actions.
  • Support project monitoring and evaluation at the national level.
  • Support the management of the project budget, overseeing procurement and accounting procedures.
  • Ensure timely disbursement of financial resources to implementing partners.
  • Maintain expenditure records and collaborate in financial reporting.
  • Track financial and administrative activities and expenses.
  • Liaise with the UNDP Country Office for financial reporting, compliance, and procurement.
  • Develop calculations for annual workplan/budget development.
  • Handle procurement processes, requisitions, and purchase orders.
  • Maintain an inventory of assets/equipment and support handover.
  • Ensure the Quantum approval system is set up at the Country Office.
  • Handle logistical matters for workshops and meetings.
  • Update the procurement plan and contacts list.
  • Handle travel arrangements for national travel and participants.
  • Handle travel procedures for international meetings, including visas and security clearances.
  • Support communication, facilitation, and organization of outreach activities.
  • Support knowledge building and sharing for the project.
Required Experience

A minimum of 6 years (with high school diploma) or 3 years (with bachelor’s degree) of progressively responsible administrative or project experience is required.

Qualifications

High School certificate or University Degree in Business Administration, Public Administration, or equivalent field.

Fluency in English is required.
Languages Preferred
Knowledge of one of the local languages (Mandinka, Fula, Wolof) is desired.
Contract Duration
1 Year with Possibility for extension
