Overview

Provide administrative and financial assistance to support a stabilization project in the Far North Region, collaborating with project teams and country office units.


Key Responsibilities
  • Ensure compliance of project business processes with UNDP policies and procedures.
  • Provide guidance to project staff on business processes and administrative requirements.
  • Assist in cost sharing and financing agreements.
  • Initiate payment of invoices and provide inputs for cost-recovery bills.
  • Draft administrative correspondence, reports, and memos.
  • Design and update a filing system for programme files.
  • Manage project supplies and initiate local purchases.
  • Provide administrative and logistical support for events and meetings.
  • Initiate and arrange official mission travel requests.
  • Participate in the preparation of annual reports on durable goods and fuel consumption.
  • Ensure proper maintenance of the vehicle fleet and supervision of drivers.
  • Control supporting documents for payment invoices and manage document archiving.
  • Assist in processing invoices and payment requests.
  • Draft authorization letters for financial commitments and create requisitions.
  • Prepare and transmit financial reporting elements.
  • Provide information on the status of financial resources.
  • Prepare information for project audits and support recommendation implementation.
  • Maintain financial and accounting documents.
  • Liaise with the finance unit on reconciliation work.
  • Effectuate payments via petty cash.
  • Participate in training for operations/projects staff on finance.
  • Provide contributions to knowledge networks.
Required Experience

Minimum of 4 years of relevant experience in administrative and financial work (with secondary education) or 1 year of relevant experience (with bachelor’s degree). Experience in the use of computers and office software packages (MS Word, Excel, etc) is required. Previous administrative and financial experience/skills in the Far North Region with an international non-governmental organization (INGO) recognized in Cameroon is an asset. Experience in procurement and operations procedures is an asset. Experience in administrative, financial and/or procurement procedures of the United Nations system is an asset. Experience in supporting budget preparation; provision of information for the audit is an asset. Experience in maintenance of records on assets management, preparation of reports is an advantage. Experience in maintenance of files and records relevant to office maintenance is an asset. Experience in the use of UNDP ERP (Quantum, Quantum+) and UNAll Service Management Platform, Power BI, Microsoft Pack (Outlook, Teams, Copilot) is an advantage.

Qualifications

Secondary education is required. A university degree (bachelor´s degree) in Business Administration, Economics, Finance, Accounting, Audit, or other relevant field will be given due consideration, but it is not a requirement.
