Overview
The Programme Management Assistant will provide office support and administrative functions within the Human Rights Service of the United Nations Assistance Mission in Afghanistan.
Key Responsibilities
- Performs a wide range of office support and administrative functions.
- Responds or drafts responses to routine correspondence and other communications.
- Monitors, processes and schedules the Team's outputs, products, tasks, etc.
- Researches, compiles and organizes information and reference materials.
- Assists with the collection and analysis of data based on human rights monitoring.
- Assists with the visualisation and updating of information material.
- Generates a variety of standard statistical and other reports.
- Proofreads documents and edits texts for accuracy, grammar, punctuation and style.
- Responds to moderately complex information requests and inquiries.
- Assists in the preparation of presentation materials.
- Maintains calendar/schedules; monitors changes and communicates relevant information.
- Performs data entry and extraction functions.
- Reviews, records, distributes and/or processes mail and other documents.
- Updates and maintains large distribution lists.
- Performs general administrative tasks.
- Maintains files in established electronic filing system.
- Assists in providing software and office equipment support.
- Provides guidance to less experienced staff.
- Translates documents and interprets in meetings, as required.
- Performs other duties, as assigned.
Required Experience
A minimum of three (3) years of experience in general office support or related area is required. The minimum years of relevant experience is reduced to one (1) year for candidate who possess a first-level university degree or higher in business, administration, management, finance and related areas. Experience in general office and administrative support, including budget/work programme, database management, electronic filing, etc., is required. Experience in the use of Microsoft Office applications is required. Experience in the research and compilation of information, reference materials and data from various sources to assist with reports, awareness-raising/capacity building and meetings, is desirable.
Qualifications
High school diploma or equivalent is required.
