Overview
The Administrative and Financial Assistant provides support for financial management and administrative tasks for UNDSS operations in Bamako, Mali.
Key Responsibilities
- Advise on financial matters.
- Prepare purchase requests (POs) and submit them in the Quantum system.
- Track contributions from AFPs to LCSSB and allocate funds to budget lines.
- Monitor expenses against the approved budget.
- Liaise with UNDP for budget execution reports.
- Analyze budget vs. actual expenditure variances.
- Review contractor invoices.
- Support office operations (capital and field).
- Provide support for office maintenance and asset management.
- Maintain official documents.
- Assist with training, meetings, travel, and hotel reservations.
- Provide administrative support for shipments and customs clearance.
- Maintain vehicle logs, maintenance, and insurance records.
- Ensure vehicle service and fuel monitoring.
- Ensure purchases are delivered to the UNDP logistics focal point.
- Maintain a record of UNDSS MOUs with UN sister agencies.
- Participate in meetings on financial and administrative issues.
- Track payment of AFP contributions to LCSSB.
- Participate in OMT meetings and follow up on decisions.
- Foster a learning environment and knowledge management.
Required Experience
Minimum 5 years of experience with a secondary school diploma, or 2 years of experience with a Bachelor's degree in administrative and financial management.
Qualifications
Secondary education is required. A University Degree (Bachelor's) in financial management, project management, accounting, or a related field will be duly considered but is not a requirement.
