Overview

Provide optimal and timely conference services in accordance with conference standards, ensuring smooth running of meetings and events to the satisfaction of organizers and participants.


Key Responsibilities
  • Monitor meeting requests and book rooms/services.
  • Assist with cost estimates and related portal development.
  • Enter data for interpreters in e-APG.
  • Prepare preliminary lists and annotate agenda items.
  • Prepare participant lists.
  • Prepare, organize, and distribute official documentation and reference material.
  • Prepare invitations to participants.
  • Escort participants to conference rooms.
  • Distribute speeches, conference room papers, and stationery.
  • Assist officials, participants, and delegates with meeting-related matters.
  • Coordinate with interpreters and sound technicians.
  • Assist the Chair with podium needs.
  • Coordinate coffee breaks.
  • Assist the information desk.
  • Distribute water bottles during meetings.
  • Perform general office management functions.
  • Assist in the management and coordination of ASMEs 2026.
  • Prepare conference rooms, including nameplates and seating arrangements.
  • Carry out other tasks as requested.
Required Experience

A minimum of one year of experience in conference services, meeting services management or related area is required. Experience working in the United Nations or other multinational or international organization is desirable.

Qualifications

A High School diploma or equivalent is required.

Fluency in English and Arabic is required.
Languages Preferred
Knowledge of French is desirable.
