Overview
The Receptionist and Administrative Assistant provides secretarial and administrative support and serves as the visitor's first point of contact in the delegation.
Key Responsibilities
- Acts as the first point of contact for visitors
- Handles incoming telephone calls
- Manages the ICRC stationery stock and promotional items and provides monthly reports on its status
- Ensures that proper procedures for protection/use/storage of sensitive office supplies exist and maintains updated inventory records
- Maintains the calendars of designated managers
- Handles the department Service Requests, Field Production Book exercise and AFA (an ICRC Stationary Platform) orders
- Updates the telephone list
- Registers and distribute external mail
- Tracks the outgoing mail using the mechanism in pace and updating the General Register Database
- Prepares for meetings and overlooks the setting up of rooms and materials
- Handles the pouches
- Pick and treat Service Ticket Management requests
- Overlooks the contacts database, the Interlocutors list and the General Register Database
Required Experience
Two years of experience in Reception/front desk management, admin support, office coordination, data entry, mail and office supplies management preferably within international organization, NGO or multinational environment.
Qualifications
Bachelor’s degree in business administration or any other job relevant field.
