Overview
The Supply Chain Associate (Procurement) will manage resources management functions, including evaluating supplier proposals, coordinating procurement needs, and preparing tender documents.
Key Responsibilities
- Receive and consolidate procurement requisition forms, verifying completeness and obtaining necessary information.
- Assist supervisors in complex, higher-value purchases.
- Prepare tender documents, solicit bids, and prepare bid analysis summaries.
- Support the evaluation process and provide technical inputs.
- Confirm terms of agreement with selected suppliers and prepare relevant documentation.
- Monitor status of open requisitions and follow up on timely delivery of goods and services.
- Coordinate with receiving units for satisfactory delivery notes.
- Review vendor invoices, prepare payment requests, and coordinate timely payments.
- Create and maintain physical and electronic records of all documentation.
- Retrieve, present, and analyse information from the system and draft periodic reports.
- Conduct market surveys to identify and evaluate potential new suppliers.
- Keep track of contractual agreements and inform concerned parties for timely renewal.
- Monitor office supplies and service, prepare requisitions, and coordinate utility payments.
- Provide briefing and technical guidance on procurement instructions and procedures.
- Perform supply chain tasks related to property and asset management, warehousing, insurance, maintenance, and transportation.
- Coordinate fleet operations activities.
- Provide training and guidance to junior SCM staff.
Required Experience
- Three years of relevant professional experience with a Bachelor's degree, or five years of relevant professional experience with a High School diploma.
- Experience in procurement and logistics and working with vendors and service providers.
- Experience with asset management process.
- Experience working with IOM/UN Procurement and Logistics Rules and Procedures is an advantage.
- Experience working in an international organisation an advantage.
Qualifications
- Bachelor’s degree in Business Administration, Accounting, Logistics, Supply Chain Management or a related field from an accredited academic institution; or High School diploma.
- Certification in Procurement, Logistics or Supply Chain Management is an advantage.
