Overview
The Protocol and Editorial Analyst is responsible for managing the full life cycle of the Executive Director's official correspondence, ensuring accuracy, consistency, and protocol compliance.
Key Responsibilities
- Drafting and editing official correspondence for the Executive Director's signature.
- Processing and editing letter drafts received from Business Units.
- Verifying protocol elements of all correspondence.
- Preparing and quality-checking notes verbales and other diplomatic communications.
- Maintaining and updating correspondence templates and guides.
- Managing the intake, registration, prioritization, and routing of incoming correspondence.
- Coordinating the preparation of draft replies and managing the internal clearance process.
- Monitoring response deadlines and providing status reports.
- Ensuring quality control of the final production of letters.
- Providing support in the preparation of high-level visits, events, and ceremonies.
- Providing language support in French for protocol and engagement work.
- Advising on protocol matters related to correspondence.
- Maintaining a filing system for the Executive Director's correspondence.
- Archiving concluded correspondence files.
- Maintaining and updating contact records and address databases.
- Retrieving precedents and background correspondence.
- Contributing to the digitization of correspondence and records management workflows.
Required Experience
Minimum 1 year of relevant professional experience in correspondence management, editing, protocol, diplomacy, external relations or executive office support.
Qualifications
Advanced university degree (Master's or equivalent) in international relations, political science, languages, translation, communications, law, public administration or another relevant field.
