Overview
Provides executive and operational support to the Director and senior leadership. Coordinates high-level meetings and events, manages front-office operations, and supports communications and stakeholder engagement.
Tasks Summary
- Manage the Director's schedule and missions
- Coordinate and/or prepare briefing papers, presentations and other materials
- Assist the Director on internal and external communications
- Participate in the development of UNOPS Geneva work plans and reports
- Monitor and facilitate the Director's approval for documents
- Provide information on processes and pending issues
- Manage the Geneva office front office
- Act as a focal point for organising office-level meetings
- Liaise with focal points, collect and consolidate documentation for board meetings and events
- Coordinate monthly meetings and maintain a digital repository of GMT documentation
- Support reimbursement of travel expense claims
- Support the Director and HoSS in organizing office retreats, training and workshops
- Organize high-level events
- Organise briefing sessions with HQ and regional focal points
- Coordinate preparation of meetings with key partners/donors
- Organise office level brown bags and workshops
- Provide administrative and logistical support to the Head of Support Services and Head of Programme
- Support the development of SOPs and guidance notes
- Responsible for compilation of reports and administrative tasks.
Experience Requirements
Experience in administration, operations, and people management processes.
