Overview
The Protocol Officer ensures smooth organization of welcome activities, including coordination of staff and guest logistics, travel arrangements, visas, permits, and official registration.
Tasks Summary
- Ensures appropriate legal status for staff and dependents in Kenya
- Applies for work/residence permits and dependent passes
- Ensures timely notification of arrival and permit applications
- Handles exemption work/resident permit endorsements
- Updates clients on application progress
- Ensures receipt of Diplomatic IDs for principals and dependants
- Follows up with Ministry of Foreign Affairs on delayed approvals
- Informs management on changes in relevant government departments
- Ensures staff are aware of visa application processes and documentation
- Establishes an efficient network with embassies for visa reception
- Supervises the Welcome assistant in compiling documents for visa interviews
- Ensures up-to-date information in collaborative space regarding passport/visa/permit follow-up
- Responsible for data entry of arrival/departure information in the welcome transportation database
- Ensures applicable policies are understood by clients and participants
- Follows up on complaints with service providers and informs Head of Welcome on results
Experience Requirements
- A minimum of 5 years of progressively responsible experience in protocol, diplomatic service, external relations, or a related area is required
- Experience in an international organization is desirable
Qualification Requirements
Bachelor’s degree, an associate degree or equivalent higher education in international relations, political science, public administration, or related fields
