Overview
Provides policy advice and committee secretarial support to the Digital Policy Committee (DPC), including planning and organising meetings and associated events. Prepares and distributes agendas, shares documents and presentations, and drafts meeting records. Prepares speeches and speaking notes for senior officials.
Tasks Summary
- Organise and coordinate DPC meetings, including preparation of calling notices, agendas, and logistical arrangements
- Maintain and update the DPC Work Plan, ensuring timely follow-up on deliverables and deadlines
- Support the organisation of weekly leadership meetings and other divisional activities
- Assist in the organisation of DPC-led external conferences, workshops and events
- Maintain awareness of developments in digital policy domains
- Support the alignment of DPC outputs with broader strategic objectives and policy frameworks
- Draft and review committee documentation, including decision sheets, speaking notes, and reports
- Coordinate the preparation of documentation and briefing materials for meetings and events
- Ensure the proper archiving and dissemination of DPC documentation
- Contribute to the institutional memory of the CDT Division
- Liaise with National Representatives, NATO entities, and external Partners
- Serve as a point of contact for DPC-related queries
- Ensure that planning efforts across policy areas are coherent, timely, and responsive to emerging requirements and strategic direction
Experience Requirements
- At least 3 years of experience in providing high-level administrative and organisational support within a complex, multi-stakeholder environment
- Proven ability to draft formal documentation, including agendas, speaking notes, decision sheets, and committee records, with precision and clarity
- Experience in coordinating meetings and events involving senior officials, including scheduling, logistics, and documentation preparation
- Proficiency in managing workflows, tracking deadlines, and maintaining structured work plans
- Familiarity with intergovernmental or international organisations, including experience liaising with national representatives or diplomatic missions
- Conversant with the Alliance’s political and military consultative processes and key security policy issues on its agenda
- Knowledge of NATO structures, policies, and procedures (desirable)
- Experience in policy development, governance, or digital transformation domains (desirable)
Qualification Requirements
• University degree in political science, international relations, public administration, data governance, or a related field from an institute of recognized standing
