Overview

Provide logistical and organizational support for events at the Paris Conference Center and coordinate with internal business partners and local vendors.

Tasks Summary

• Schedule and coordinate onsite events using the in-house Event Management System (EMS)
• Liaise with organizers to confirm requirements
• Enter event requirements into EMS, ensuring data accuracy and proper chargeback
• Coordinate with internal business partners and their service providers
• Provide logistical and organizational support for events at the Sofia Conference Center
• Maintain positive vendor relationships, place orders, and assist with negotiations
• Serve as the point of contact for supporting materials preparation
• Collect client feedback and recommend improvements
• Support accounting processes, including invoice collection and payment processing
• Report facility issues and coordinate with maintenance teams
• Provide recommendations for offsite hospitality and event venues
• Perform other administrative duties
• Act as backup to the Paris-based Senior Conference Assistant

Experience Requirements

• At least five years of relevant experience, or equivalent combination of education and experience
• Familiarity with conference program policies, procedures, and best practices
• Knowledge of food and conference industry trends, business practices, and basic accounting are desirable

Qualification Requirements

• Minimum education: High School diploma; bachelor’s degree preferred

Work Modality: Onsite in Paris, with occasional coordination for events hosted in Sofia
