Overview

The support service officer is responsible for the efficient management of financial, administrative, HR, supply chain, and premises/warehouse support functions at the field level, ensuring compliance with DRC’s policies and procedures.


Tasks Summary
  • Ensure timely and accurate payment processing for vendors, staff, and casual workers.
  • Maintain daily and monthly updated cash books, perform regular bank reconciliations, and lead cash counts.
  • Facilitate the process and reconciliation of staff advances.
  • Ensure all payments are correctly coded and recorded in DYN.
  • Support the preparation of monthly financial reports and assist in audits.
  • Ensure tax, pension, and other statutory deductions are calculated and paid on time.
  • Maintain an organized and auditable filing system of financial documents.
  • Support recruitment processes at the field level.
  • Ensure proper maintenance of staff records, leave tracking, and contract documentation.
  • Support monthly payroll inputs.
  • Coordinate staff inductions, orientations, and ensure compliance with HR policies.
  • Ensure that all staff are registered with the government pension scheme and receive ID cards.
  • Ensure timely follow-up on HR-related correspondence and documentation.
  • Manage office utilities, lease agreements, and ensure a clean and functional work environment.
  • Coordinate meetings, workshops, and travel logistics.
  • Oversee adequate supplies for operations.
  • Work closely with the Supply Chain team to support stock receipt, recordkeeping, and proper storage.
  • Support the ERM in conducting periodic checks of premises and supplies.
  • Ensure inventory forms and casual contracts are documented and archived.
  • Manage all procurement activities at the emergency office within the approved threshold.
  • Implement the procurement plans.
  • Run the procurement process for field office requests and ensure compliance with DRC and donors’ regulations.
  • Ensure a tracker is maintained for all procurement requests and shared with relevant managers.
  • Participate in BFUs meetings and provide updates to budget holders.
  • Ensure accurate filing systems for supply chain activities.
  • Timely process payments for all completed goods, services, and works.
  • Ensure the logistics system in the field office is robust and flexible.
  • Perform market surveys on a regular basis.

Experience Requirements
  • Minimum 2 years of relevant work experience in finance, admin, and HR roles, preferably in an NGO or emergency setting.
  • Strong knowledge of accounting principles and financial regulations.
  • Familiarity with ERP systems (e.g., DYN) and high proficiency in Microsoft Office (especially Excel).
  • Solid understanding of Ethiopian labor law and administrative procedures.
  • Experience with HR practices, staff coordination, and logistics is desirable.
  • Strong organizational and interpersonal skills; ability to multitask under pressure.

Qualification Requirements
  • University degree in Accounting, Business Administration, Human Resources, or other related fields
  • EORE qualification
Other Details

Languages Required: • Fluent spoken and written English • Proficiency in Amharic is required

Languages Preferred: • knowledge of Tigrigna is added value

Contract Duration: 5 Months

Remuneration: Salary and conditions will be in accordance with Danish Refugee Council’s Terms of Employment for National employees
