Overview
The role supports the timely and efficient delivery of supplies and services by managing logistics operations, including customs clearance, warehousing, and transportation. It ensures accurate data management and contributes to effective supply chain planning and execution.
Tasks Summary
- Provide input to the annual Supply Plan and procurement strategies.
- Prepare and process procurement documentation such as RFQs, ITBs, and RFPs.
- Prepare purchase orders and contracts in SAP.
- Monitor supply chain activities and vendor performance.
- Advise on logistics components of the supply plan, including infrastructure constraints.
- Track and negotiate waivers for demurrage and detention charges.
- Monitor progress of offshore and regional procurement for timely customs clearance.
- Review needs for contracting logistics third-party services.
- Maintain and process documentation for logistics operations.
- Assess warehousing capacity and propose corrective actions.
- Support warehousing and inventory management processes.
- Supervise receipt and dispatch of supplies.
- Prepare stock reports and monitor inventory.
- Carry out physical counts of inventory.
- Prepare documentation for commodity disposal.
- Track near-to-expiry supplies.
- Ensure continuous availability of procurement data and prepare reports.
- Support assessment of and collaboration with implementing partners.
- Assist in building partnerships with UN organizations for procurement and logistics.
- Support Procurement Services (PS) transactions and projects.
- Maintain up-to-date files for all Procurement Service transactions.
- Monitor incoming PS shipments.
- Provide input for knowledge exchange and capacity building.
- Develop and facilitate training of newcomers.
Experience Requirements
- A minimum of 5 years of relevant administrative experience in supply chain management or a commercial context is required.
- Understanding of development and humanitarian work is an advantage.
- Relevant experience at country level, particularly in development, fragile settings and humanitarian contexts is desirable.
Qualification Requirements
Completion of secondary education is required, preferably supplemented by technical or university courses related to supply chain, business administration, contract/commercial law, or another relevant technical field.
