Overview

The role provides general administrative support to HQ Hub staff on Human Resources aspects, supporting the Principal Operational Support Adviser in overseeing all aspects of human resources for the Dakar hub.

Tasks Summary
  • Welcome new arrivals and coordinate briefing schedules.
  • Prepare and deliver HR briefings.
  • Set up IT equipment and maintain contact lists.
  • Support recruitment processes and monitor recruitment needs.
  • Ensure up-to-date job descriptions and provide support for organizational changes.
  • Update the organizational chart.
  • Supervise, update, and administer payroll elements and social security contributions.
  • Prepare final account balances and serve as a focal point for labor law issues.
  • Manage private health insurance for national employees and act as a point of contact for the insurance company.
  • Prepare and submit documents for family allowances and maternity leave.
  • Prepare information for international staff final account balances.
  • Manage filing systems and ensure archiving of HR documents.
  • Follow up on mandatory training and probationary periods.
  • Monitor work objectives and performance reviews.
  • Assist managers in implementing solutions for underperformance and misconduct.
  • Identify training needs and development plans.
  • Maintain a catalog of training opportunities.
  • Provide technical support on HR tools and assist with audits.
Experience Requirements
  • At least 2 years of relevant administrative or human resources experience, preferably in an INGO or international environment.
  • At least one year of previous similar professional experience in an equivalent structure.
  • Familiarity with Senegalese legal legislation and labor law is preferable.
  • Excellent command of Microsoft Office.
  • Excellent command of Excel tools.
  • Good understanding of the working context within an international environment.
  • Knowledge of Dynamics ERP software or other HRMS is a great advantage.

Languages Required: • Excellent level of French (perfect command of the French language, both written and spoken, is essential).

Languages Preferred: • A good level of English is a strong advantage.

Contract Duration: 12 months

Work Modality: 25% Field travels if required
