Overview
The Senior Asset Management Assistant performs asset management functions in accordance with prevailing rules and regulations. The role provides operational assistance to Field Operations for management of their assets, focusing on supporting disposal of assets.
Tasks Summary
- Organize the administration of assets auctions.
- Take part in frequent assets disposal and set-up missions.
- Facilitate identification, assessment and selection of vendors (Auctioneer).
- Liaise with UNHCR operations to ensure vehicle accidents and damage are reported and processed.
- Report on income from sale of assets.
- Coordinate with the operations and maintain an efficient system for the resolution of asset management issues.
- Assist with the coordination of asset management activities.
- Maintain accurate and comprehensive records on asset management activities and provide reports.
- Analyse disposal requisitions.
- Assist in the evaluation of service providers and provide advice on asset disposals.
- Prepare or assist with the preparation of Transfers of Ownership, Disposals, etc.
- Monitor the quality and accuracy of asset-related data.
- Compile and analyse statistical information in asset-related matters.
- Implement effective asset management, regularly monitor the asset/fleet pool.
- Facilitating receipt, inspection, registration & marking of PPE and provide support with the organisation of their physical verification.
- Draft of Right of Use and Transfer of Ownership agreements.
- Draft disposal forms and cases for the Asset Management Board and organise the disposal of PPE.
- Monitor the compliance of operations with relevant UNHCR regulations, rules and procedures related to asset management.
- Liaise with UNHCR offices on the disposal methodology.
- Support the identification and management of risks and seek to seize opportunities impacting objectives.
- Perform other related duties as required.
Experience Requirements
- 2 years relevant experience with High School Diploma; or 1 year relevant work experience with Bachelor or equivalent or higher.
- Demonstrated experience delivering outputs under multiple competing deadlines in a fast-paced operational environment.
- Proven analytical experience, including regular use of MS Excel, PowerPoint, and MS Word to analyze and present large datasets.
- At least 2 years of experience in planning, coordination, and stakeholder communication, including negotiation with internal and external partners.
- Hands-on experience managing administrative and financial processes in accordance with UNHCR procedures.
- Track record of accountability and ethical conduct, demonstrated through prior supervisory or compliance-related responsibilities.
- Practical knowledge of UNHCR Administrative and Financial Rules and Regulations, applied in previous roles.
- Experience monitoring compliance with UNHCR asset management policies and procedures.
- Supported asset disposal processes, including auctions, and conducted physical verification and reconciliation of assets.
- Experience in on-line auctioning (Desirable).
- Knowledge and working experience of related business systems (Desirable).
