Overview
The Project Associate provides administrative, financial, and operational support for effective and efficient project execution. This role involves managing financial transactions, supporting procurement, assisting with financial reporting, and ensuring compliance with UNDP guidelines.
Tasks Summary
- Be responsible for logistics, travel arrangements, and hiring project staff.
- Encourage understanding and promotion of gender equality among project staff and partners.
- Carry out procurement in accordance with UNDP rules and procedures.
- Prepare all financial and administrative documents required for project implementation.
- Prepare quarterly and annual budget plans for recruiting staff.
- Assist project personnel, experts and consultants in matters of financial costs, advance payments, transportation costs and other financial and administrative costs.
- Prepare detailed cost estimates and participate in budget analysis and forecasting.
- Process, update the list and keep records of intangible assets.
- Execute duties of a cashier, responsibility for the distribution of the project-based cash flow.
- Analyze potential administrative and financial issues and take necessary steps to ensure sufficient resources.
- Identify effective measures to optimize the use of project resources.
- Ensure full compliance of administrative and financial processes and financial reporting with UNDP requirements.
- Participate in training and organize briefings on internal procedures for project staff.
- Provide support in the dissemination and sharing of relevant data and lessons learned.
- Make sound contributions to knowledge networks and communities of practice.
- Monitor vacations of project employees and check the correctness of monthly report cards.
- Collect, analyze and present information for monitoring and evaluation of project implementation.
- Assist in the organization of field and study visits, missions, workshops, roundtables, and conferences.
Experience Requirements
- Minimum of 7 years (with a high school diploma) or 4 years (with a bachelor’s degree) relevant work experience, preferably in project administration.
- Experience in financial management, administration, or accounting, preferably within an international organization or development project setting.
Qualification Requirements
- Secondary education is required.
- A university degree in Finance, Economics, Business Administration, Environment, or similar areas will be given due consideration, but it is not a requirement.
