Overview

The Logistics Officer contributes to the smooth running of the service through rapid responses. The Officer supervises the logistics administrative assistant and provides other support to Logistics.

Tasks Summary
  • Manage stock of supplies in a safe place with an electronic register.
  • Ensure management of stock for phones, SIM cards, and recharge cards.
  • Submit monthly stock reports.
  • Update SAP system and correct discrepancies after stock checks.
  • Receive, check, record, and store items from suppliers.
  • Coordinate timely storage, distribution, or transfer of goods.
  • Arrange hotel and flight bookings for project travel.
  • Coordinate hotel booking follow-ups with the Supervisor.
  • Coordinate travel to project areas with Logistics.
  • Ensure timely payment for hotels and airlines.
  • Ensure inventory, registration, and regular updates of all organizational assets and equipment.
  • Guarantee proper use, maintenance, and security of assets.
  • Track movement, assignments, and returns of equipment.
  • Prepare inventory reports, replacement requests, and end-of-life disposal plans.
  • Ensure timely maintenance and repairs of the building and equipment.
  • Provide adequate support to international staff.
  • Maintain a database of handlers for handling services and other small jobs.
  • Verify utility bills and follow up on payment slips.
  • Ensure utility bills are paid on time and continuously.
  • Ensure team performance.
  • Provide coaching, supervision, and development for direct reports.
  • Ensure contracts and protocols with consultants/partners contain minimum standards for child protection.
  • Facilitate understanding of key partners and organize working sessions.
  • Request feedback from subordinates regarding partners' behavior towards children.
  • Conduct refresher sessions on child protection issues.
  • Report any allegations, proven facts, or concerns related to the implementation of the Child Protection Policy.
  • Ensure behavior worthy of Plan International's child safeguarding values.
  • Facilitate audit follow-ups on safeguarding.
  • Ensure employees understand the necessity of considering 18-24 year olds in relationships.
  • Support actions aimed at community participation in child safeguarding policy revisions.
  • Make available a list of female suppliers.
  • Ensure the office physical space is welcoming to both women and men.
  • Ensure the choice of space for activities considers gender-specific needs and accessibility standards.
  • Report any allegations or suspicions of sexual assault or harassment.
  • Maintain open communication, avoiding sexist language or attitudes.
  • Ensure external and internal activities are executed in conformity with organizational goals and policies.
  • Execute any other tasks assigned by the direct Supervisor.
  • Ensure global policies for child safeguarding, gender equality, and inclusion are integrated.
Experience Requirements
  • Two (2) years of experience in a similar position.
  • Two (2) years of minimum experience in staff supervision.
Qualification Requirements
  • University degree in Administration or equivalent.
  • Training or Experience in Stock Management.
Other Details

Languages Required: • Excellent oral and written communication skills in French. • Good understanding of English.
