Overview
The Logistic Assistant (Storekeeper) is responsible for the physical and administrative management of UNOPS stocks, ensuring reception, secure storage, digital traceability, and rigorous distribution of materials while adhering to compliance procedures.
Key Responsibilities
- Ensure timely registration of UNOPS/MAD materials and equipment using the Reception and Inspection Report.
- Track UNOPS/MAD materials and equipment from reception.
- Label all UNOPS/MAD materials upon receipt before allocation.
- Update the database by analyzing information and generating periodic inventory reports.
- Monitor the movement of materials and equipment between UNOPS/MAD offices or with partners.
- Allocate materials to staff and partners based on expressed needs and ensure receipt acknowledgments are signed.
- Periodically conduct inventory of all materials.
- Assist staff in cases of loss, damage, or theft of UNOPS/MAD assets and ensure incident reports are submitted.
- Ensure materials and equipment used by partners are returned in good condition at project end.
- Establish a filing system for material management related documents.
- Process all warehouse/store transactions in accordance with UNOPS/MAD internal procedures.
- Receive and inspect goods, verify purchase order and invoice accuracy, and establish the Reception and Inspection Report for inventory system registration.
- Process outgoing materials, equipment/office supplies, and spare parts according to established procedures and record all movements in the inventory system.
- Record entries and exits of equipment and associated documents on the geospatial platform.
- Maintain stock records of stored goods using a spreadsheet or a more developed management system.
- Organize material and equipment/office supplies and spare parts storage according to safety standards.
- Regularly conduct inventory of goods in warehouses/stores and produce an exact and updated list.
- Assess available storage space and advise the Logistics Officer on additional space needs.
- Distribute stocked equipment and items according to a pre-shared distribution plan.
- Record information in the computerized stock management system within the required deadlines.
- Organize and implement a filing system for stock management information.
Required Experience
- At least 4 years of relevant experience in fixed asset management, warehouse management, logistics, or related fields with a secondary school diploma.
- Experience in using forklifts/forklifts is required.
Qualifications
- A secondary school diploma is required.
- A university degree in management, administration, technical, logistics, or another field is an asset and can substitute for all or part of the requested years of experience.
