Overview
The Supply Chain Assistant will be responsible and accountable for managing the resources management functions in the Cambodia office, under the supervision of the Head of Resources Management and the Supply Chain Officer.
Tasks Summary
- Receive and consolidate procurement requisition forms, verify information and compliance, and obtain necessary additional information.
- Prepare tender documents, solicit bids, prepare bid analysis summaries, and confirm terms of agreement with selected suppliers.
- Monitor status of open requisitions, follow up on timely delivery of goods and services, and coordinate with receiving units.
- Review vendor invoices, prepare payment requests, and coordinate timely payments to suppliers/service providers.
- Maintain physical and electronic records of documentation throughout the procurement cycle.
- Conduct market surveys to identify potential new suppliers/service providers and participate in their evaluation.
- Keep track of contractual agreements, inform concerned parties for timely renewal, and monitor office supplies and service requisitions.
- Provide technical information to staff on procurement instructions and procedures.
- Perform supply chain tasks related to property and asset management, warehousing, insurance coverage, maintenance, and transportation.
- Support the coordination of transportation needs and drivers’ movements, verify logbooks, and monitor fuel consumption and vehicle maintenance records.
- Monitor activities of contractors working on office premises.
- Support the organization of meetings, workshops, and trainings.
- Perform other duties as may be assigned.
Experience Requirements
- Two years of relevant professional experience with a university degree in Business Administration, Accounting, Logistics, Supply Chain Management or a related field.
- Four years of relevant professional experience with a high school diploma.
- Experience in procurement and logistics and working with vendors and service providers.
- Experience with asset management process.
- Experience working with IOM/UN Procurement and Logistics Rules and Procedures is an advantage.
- Experience working in an international organisation is an advantage.
Qualification Requirements
- University degree in Business Administration, Accounting, Logistics, Supply Chain Management or a related field from an accredited academic institution.
- High school diploma.
- Certification in Procurement, Logistics or Supply Chain Management is an advantage.
