Overview
Provide comprehensive administrative support to a project to ensure smooth daily operations in line with ILO rules and procedures. Assist in the preparation of budget estimates, cost calculations, and financial projections for project activities.
Tasks Summary
- Prepare and process administrative documentation, including contracts, travel authorizations, requisitions, and other required forms.
- Maintain and update project files, databases, and records, ensuring accuracy and confidentiality.
- Draft routine and non-routine correspondence, including confidential communications, as required.
- Assist in the preparation of budget estimates, cost calculations and financial projections for project activities.
- Process financial transactions in line with development cooperation procedures, including verification of supporting documentation.
- Monitor budget allocations and expenditures to ensure proper utilization of funds and compliance with financial rules.
- Prepare periodic financial reports and administrative statistics as required.
- Organize travel arrangements, including reservations and preparation of travel documentation.
- Support the organization of workshops, seminars and training sessions, including venue arrangements, logistics coordination and preparation of documentation.
- Brief international staff, experts and consultants on administrative procedures and logistical matters.
Experience Requirements
Minimum of six years of progressively responsible administrative work with supervisory experience.
Qualification Requirements
Completion of secondary school education and formal training in the relevant administrative area.
