Overview

Provide administrative support within the Regional Office for Central Asia, assisting with general administration, contract administration, and Umoja system support.


Key Responsibilities
  • Draft routine correspondence.
  • Coordinate with service units and internal team members.
  • Review travel requests and raise Travel Requests in Umoja.
  • Provide information on travel options.
  • Act as a travel expert/focal point.
  • Review travel agency invoices and prepare payment requests.
  • Assist with data collection, analysis, and report preparation.
  • Assist with visualizations and updating information material.
  • May guide, train, and supervise junior staff.
  • Support staff and travellers in protocol matters related to visas.
  • Support international staff with accreditation requests.
  • Coordinate with the Ministry of Foreign Affairs on visa and accreditation matters.
  • Coordinate the vehicle fleet and driver workload.
  • Facilitate vehicle technical inspections and track mileage.
  • Prepare monthly reports on utilities, cell phone, taxi, car wash, and other services.
  • Provide assistance in asset/inventory write-off and verification.
  • Provide assistance with custom clearance processes.
  • Backstop Executive Associate when needed.
  • Assist with day-to-day administration of contracts.
  • Audit contractors' invoices.
  • Process and monitor contractor payments.
  • Collect quotations and conduct preliminary evaluations.
  • Prepare Purchase Orders and local contracts.
  • Raise Shopping Carts.
  • Record Service Entry Sheets.
  • Perform other work-related duties.
Required Experience

A minimum of five (5) years of relevant work experience in administration or related areas is required. The minimum number of years of relevant experience is reduced to three (3) for candidates with a first-level university degree or higher. Work experience with an Enterprise Resource Planning (ERP) system is required. At least one (1) year or more of experience in data analytics or related area is desirable. Work experience with SAP/Umoja is desirable. Work experience using advanced Microsoft Office applications and databases is desirable. Work experience within the United Nations system or similar international organization is desirable.

Qualifications

High school diploma or equivalent is required.
