Overview
The role involves providing administrative and office management support within the FAO Representation in the DRC. The incumbent will ensure the smooth flow of work and information, manage daily tasks, and provide guidance on office procedures.
Key Responsibilities
- Maintain financial records and control office systems.
- Manage petty cash and monitor project accounts.
- Collect, enter, and analyze data from various sources.
- Verify fund availability and ensure disbursements align with budgets.
- Prepare administrative and financial correspondence.
- Maintain detailed records of budget forecasts, obligations, and available balances.
- Produce reports on the budgetary status of office and project accounts.
- Maintain local inventory records and ensure assets are registered, maintained, and protected.
- Maintain a filing system for administrative and financial documents.
- Monitor the receipt of government contributions and transfer of ownership of organizational equipment.
- Liaise with local banks and financial institutions.
- Support the streamlining of procedures and practices and the introduction of new IT tools.
- Support tasks related to personnel and equipment administration.
