Overview

The Program Assistant will provide administrative support to the Executive Director's office, interacting with various stakeholders and ensuring smooth office operations.


Key Responsibilities
  • Provide administrative support to the Executive Director's office.
  • Manage priorities and workflow for assigned staff.
  • Prepare, process, and handle sensitive and confidential information.
  • Schedule appointments and coordinate mission travel.
  • Format and type documents, statements, and correspondence.
  • Respond to external and internal inquiries.
  • Ensure meeting files and background materials are available.
  • Provide general research support.
  • Maintain and update contact lists and filing systems.
  • Prioritize and channel calls and emails.
  • Assist in managing common service tasks and coordinating delivery.
  • Perform ad hoc duties and back-up to other Program Assistants.
  • Assist in official events and seminars.
  • Accompany office team to Annual Meetings when held in member countries.
  • Provide administrative and logistical support to team members and delegations.
Required Experience
  • Minimum of 5 years of relevant experience; or equivalent combination of education and experience.
  • Excellent office support and organizational skills.
  • Demonstrated ability to prioritize and deliver assignments in a timely manner, often under time pressure.
  • Familiarity with the constituency countries is desirable.
  • Interpersonal and diplomacy skills.
  • Demonstrated ability to work in a team-oriented and multi-cultural environment.
  • Demonstrated ability to handle sensitive and confidential information with discretion.
  • Ability to deal tactfully and diplomatically with high-level government officials.
  • Demonstrated ability to function under time pressure and to handle multiple tasks in a fast-paced environment of changing priorities.
  • Proactive attitude, self-starter, and a team player.
  • Ability to work with staff at all levels (inside and outside the World Bank Group).
  • Advanced working skills in multiple computer software applications (e.g., Microsoft Office, Outlook, Webex, Teams, SAP/Admin Portal).
Qualifications
  • Must have a high school diploma.
  • Undergraduate college degree preferred.
