Overview
Provides administrative and financial support for a food safety project, ensuring compliance with UNIDO rules and regulations.
Key Responsibilities
- Process and manage financial transactions, including invoices, purchase orders, and payment requests.
- Handle allowances for participants in capacity-building activities.
- Maintain accurate financial records and documentation for auditing purposes.
- Assist in the preparation and monitoring of project budgets and provide financial reports.
- Handle petty cash disbursements and reconciliations.
- Coordinate logistics for project activities, including procurement, transportation, and event planning.
- Assist in the recruitment and onboarding process for project staff and consultants.
- Facilitate travel arrangements for project staff and visitors.
- Support the organization and execution of capacity-building activities, workshops, and meetings.
- Act as a liaison between the project site and headquarters.
- Assist in risk assessment and mitigation activities.
- Ensure compliance with organizational policies and donor requirements.
- Facilitate internal and external audits.
- Maintain project equipment inventories.
- Provide inputs to project activity reports.
- Carry out ad-hoc assignments.
- Maintain files and databases.
Required Experience
- A minimum of eight (8) years of work experience in the related fields of the post, is required.
- Experience in office procedures and practices, preferably within the UN system or in a multicultural environment, is desirable.
- Experience in project administration, accounting and finance, providing support to managerial/professional staff and using administrative skills to assist in the execution of project development and implementation of work, is desirable.
- Experience and proficiency in using Microsoft Office (Outlook, Word, Excel and PowerPoint), internet, is required.
- Experience with SAP or similar ERP software is desirable.
Qualifications
- Completed higher secondary education (high school diploma or equivalent), is required.
- Formal administrative/secretarial/clerical training or equivalent, is desirable.
- Credit towards total working experience may be considered on a year by-year- basis, up to maximum of four years, for a higher degree education (including first university degree or equivalent diploma and/or master’s degree), in a relevant field to the post.
