Overview

Provides administrative and financial support for a food safety project, ensuring compliance with UNIDO rules and regulations.


Key Responsibilities
  • Process and manage financial transactions, including invoices, purchase orders, and payment requests.
  • Handle allowances for participants in capacity-building activities.
  • Maintain accurate financial records and documentation for auditing purposes.
  • Assist in the preparation and monitoring of project budgets and provide financial reports.
  • Handle petty cash disbursements and reconciliations.
  • Coordinate logistics for project activities, including procurement, transportation, and event planning.
  • Assist in the recruitment and onboarding process for project staff and consultants.
  • Facilitate travel arrangements for project staff and visitors.
  • Support the organization and execution of capacity-building activities, workshops, and meetings.
  • Act as a liaison between the project site and headquarters.
  • Assist in risk assessment and mitigation activities.
  • Ensure compliance with organizational policies and donor requirements.
  • Facilitate internal and external audits.
  • Maintain project equipment inventories.
  • Provide inputs to project activity reports.
  • Carry out ad-hoc assignments.
  • Maintain files and databases.
Required Experience
  • A minimum of eight (8) years of work experience in the related fields of the post, is required.
  • Experience in office procedures and practices, preferably within the UN system or in a multicultural environment, is desirable.
  • Experience in project administration, accounting and finance, providing support to managerial/professional staff and using administrative skills to assist in the execution of project development and implementation of work, is desirable.
  • Experience and proficiency in using Microsoft Office (Outlook, Word, Excel and PowerPoint), internet, is required.
  • Experience with SAP or similar ERP software is desirable.
Qualifications
  • Completed higher secondary education (high school diploma or equivalent), is required.
  • Formal administrative/secretarial/clerical training or equivalent, is desirable.
  • Credit towards total working experience may be considered on a year by-year- basis, up to maximum of four years, for a higher degree education (including first university degree or equivalent diploma and/or master’s degree), in a relevant field to the post.
