Overview
The Supply Chain Assistant will support the management of supply chain functions in Vanuatu, including procurement, logistics, and asset management.
Key Responsibilities
- Receive and consolidate procurement requisition forms, verify information, and obtain necessary details.
- Prepare tender documents, solicit bids, and prepare bid analysis summaries.
- Confirm terms of agreement with selected suppliers, prepare documentation, and coordinate authorizations.
- Monitor open requisitions and follow up on timely delivery of goods and services.
- Review vendor invoices, prepare payment requests, and coordinate payments.
- Maintain physical and electronic records of documentation.
- Conduct market surveys to identify potential suppliers and participate in their evaluation.
- Keep track of contractual agreements and inform concerned parties for timely renewal.
- Monitor office supplies and services and prepare requisitions.
- Coordinate with the Finance Unit for utility invoice payments.
- Provide technical information on procurement instructions and procedures.
- Perform supply chain tasks related to property and asset management, warehousing, insurance coverage, maintenance, and transportation.
- Support the coordination of transportation needs and drivers’ movements.
- Verify logbooks, monitor fuel consumption, and vehicle maintenance records.
- Monitor activities of contractors working on office premises.
- Support the organization of meetings, workshops, and trainings.
- Perform other duties as may be assigned.
Required Experience
- Two years of relevant professional experience with a university degree in Business Administration, Accounting, Logistics, Supply Chain Management or a related field; or four years of relevant professional experience with a high school diploma.
- Experience in procurement and logistics and working with vendors and service providers.
- Experience with asset management process.
- Experience working with IOM/UN Procurement and Logistics Rules and Procedures is an advantage.
- Experience working in an international organization an advantage.
Qualifications
- University degree in Business Administration, Accounting, Logistics, Supply Chain Management or a related field from an accredited academic institution; or High school diploma.
- Certification in Procurement, Logistics or Supply Chain Management is an advantage.
