Overview
The Executive Support Assistant provides administrative, coordination, communication, and substantive support to the Representative's Office to ensure its effective functioning. The role focuses on managing the Representative's schedule, engagements, visibility, and internal coordination, while also supporting strategic communication and reporting.
Key Responsibilities
- Assists the Representative in meetings with UN and non-UN partners.
- Manages and coordinates the Representative's calendar, scheduling meetings, appointments, and travel arrangements.
- Provides support in managing projects and deadlines.
- Provides support for high-level visits and field visits of the Representative.
- Coordinates UNCT and diplomatic briefings on the human rights situation.
- Follows up on mapping of OHCHR meetings and external engagements.
- Drafts briefing notes, talking points, and other strategic documents.
- Drafts and shares OHCHR Liberia contributions and weekly updates to OHCHR Geneva.
- Manages the internal visibility of OHCHR Liberia on OHCHR's intranet.
- Drafts monthly statistics on human rights violations and abuses.
- Coordinates the media monitoring program and drafts analytical reports.
- Conducts daily media monitoring, provides notes on key issues, and contributes to uploading cases on the Human Rights Case Database.
- Compiles information and drafts the office weekly reports.
- Coordinates the internal and external visibility of OHCHR Liberia activities.
- Takes photo and/or video coverage of OHCHR's events.
- Contributes to teamwork and regular information flow within the Representative's office.
- Contributes to administrative tasks.
- Supports the organization of the Representative’s field missions.
Required Experience
- 3 years of relevant experience.
- Previous experience as a Personal Assistant, Executive Assistant, or in a related administrative support role in a fast-paced environment, ideally supporting senior leadership, is an asset.
- Knowledge of travel and event planning logistics is an advantage.
Qualifications
• Bachelor's degree in business administration, communications, or a related field is preferred.
