Overview
The Programme Assistant will carry out procedural, administrative, and operational tasks to support the development, implementation, and monitoring of the country programme, ensuring timely and effective delivery.
Key Responsibilities
- Facilitate processing of contracts for consultants, vendors and partners.
- Maintain up-to-date vendor lists, partner databases and consultant rosters.
- Collect, review and process invoices.
- Prepare and maintain records for programme implementation and financial monitoring.
- Support processing of Implementing Partner documentation.
- Maintain programme planning and development records.
- Perform SAP (VISION) transactions.
- Provide logistical support for trainings, meetings and events.
- Support management of office supplies and equipment.
- Provide administrative and operational support for office relocation, repairs and construction activities.
- Track and follow up on premises-related works.
- Liaise with Operations, vendors and service providers on maintenance, security, cleaning and utilities.
- Assist with office relocation logistics.
- Support monitoring of health and safety during office works.
- Ensure continuity of office operations during transitions.
- Maintain office calendar, organize meetings, and manage correspondence.
- Provide travel support to staff.
Required Experience
A minimum of five years of progressively responsible administrative or clerical work experience is required.
Qualifications
Completion of secondary education is required, preferably supplemented by technical or university courses related to the work of the organization.
