Overview
Provides front-desk services and administrative, logistical, and secretarial assistance to support Agencies and personnel within the Common Premise.
Key Responsibilities
- Monitors visitors and provides information.
- Manages front desk coverage and answers calls.
- Updates UN telephone list and directories.
- Performs general administrative tasks.
- Receives and transmits messages.
- Maintains internal documents and control templates.
- Manages office files and records.
- Supports Operations and Finance with payment requests and GST preparation.
- Arranges and attends meetings.
- Drafts routine correspondence and translates documents.
- Supports with travel arrangements and documentation.
- Maintains registry system, archives, and asset records.
- Provides photocopies from registry files.
- Supports with billing and invoicing.
- Assists with registry demands and asset management tasks.
- Performs routine ICT technical tasks and maintenance.
- Provides ICT support for events and video/audio conferencing.
Required Experience
- Experience in the use of computers, office software packages (MS Word, Excel, etc.), database packages, and web-based management systems such as ERP.
- Experience in office filling and other administrative related activities is an advantage.
- Experience working in a UN agency, fund or programme or Embassy, or international organization is desired.
- Experience with travel support and logistics.
- Minimum of 4 years (with high school diploma) or 1 years (with bachelor’s degree) of relevant experience in administration or programme support services is required.
Qualifications
- Secondary education is required.
- University Degree in Business Administration, Public Administration, or equivalent field will be given due consideration, but it is not a requirement.
- Certifications in Administration and / or Procurement are desirable.
