Overview
This role supports partners and WHO teams to ensure timely and compliant submissions and facilitate the entry of critical medical supplies into Gaza.
Key Responsibilities
- Assist in the preparation and compilation of UN2720 submission packages.
- Check completeness of documentation against established checklists.
- Enter and update data in tracking tools and spreadsheets.
- Maintain organized electronic filing systems.
- Monitor the status of submissions and follow up internally.
- Support the preparation of routine status updates and reports.
- Assist in compiling documentation for COGAT approval processes.
- Ensure documents are properly formatted and filed.
- Update internal trackers with submission and approval status.
- Support follow-up actions by collecting and organizing additional documents.
- Maintain an up-to-date database of requests and approvals.
- Provide day-to-day administrative support to the OSL team.
- Organize, archive, and maintain records.
- Assist colleagues in locating documents and ensuring proper version control.
- Support the use and updating of internal tools.
- Draft simple correspondence, emails, and standard communication templates.
- Perform other related administrative tasks as required.
Required Experience
- 3 years of administrative or clerical experience, preferably in an international organization or humanitarian context.
- Experience in document handling, filing systems, and data entry.
- Experience with databases or tracking tools is an advantage.
Qualifications
• Bachelor's degree in administration, logistics, or a related field is an asset.
