Overview

Provide administrative and coordinated assistance to the Unit and the Head of Unit within the Directorate-General for Taxation and Customs Union.


Key Responsibilities
  • Ensure management of the unit functional mailbox, including follow-up of deadlines and drafting of replies.
  • Organise meetings with Member States and external stakeholders using various IT tools.
  • Prepare draft agendas for meetings.
  • Share documents with institutions and the public using RegEx and RegCom applications.
  • Act as a backup for colleagues in the secretariat.
  • Request translations of draft documents and liaise with DGT.
  • Launch legislative proposals Inter-Service Consultations in Decide and follow up on assignments and replies.
  • Share sensitive documents with colleagues via SECEM and EU restricted documents via RUE.
  • Provide administrative support for horizontal requests, including translation planning, Annual Activity Report and Annual Management Plan input, and holiday planning coordination.
  • Provide administrative support to the Head of Unit or Deputy Head of Unit for job descriptions, vacancy notices, interviews, and new staff integration.
  • Manage time tracking in SYSPER for teleworking, flexible work patterns, sick leave, missions, and training.
Required Experience
  • A very good knowledge of internal Commission procedures.
  • Experience with ARES, DECIDE, CircaBC, PICS, REG EXP, REG COM, AGM, MIPS+, SYSPER, WebDor, SYSPER, BASIS, ePoetry.
