Overview
The Programme Associate – Reporting will draft comprehensive donor reports, support technical assistance, and operations of the Home-Grown School Feeding Programme.
Key Responsibilities
- Draft comprehensive donor reports including USDA and KOICA, ensuring clarity, accuracy, and compliance with donor requirements.
- Coordinate with WFP units to ensure donor conditions are met and reporting reflects integrated programme efforts.
- Contribute to the preparation of critical reports for school feeding programme activities such as Annual Country Report, Annual Performance Plan (APP), Country Briefs, and success stories.
- Prepare internal school feeding reports, briefs, talking points, and presentations.
- Support the implementation of the transition and Technical Assistance Strategy of the Home-Grown School Feeding programme.
- Perform specialized processes and activities within the specific technical area of work.
- Provide project management and/or general office support.
- Support the documentation and formulation of different pilots of HGSFP process and track progress.
- Work with Ministry of Education, Youth, and Sport (MoEYS)/WFP to update or develop training tools and disseminate to relevant stakeholders.
- Participate in operational learning activities through field visits and back-to-office reports.
- Prepare and disseminate advocacy and communications publications to support school feeding implementation and strategy.
- Act as the alternate focal person to prepare official Field Level Agreements and amendments.
- Review quarterly/semi-annual/annual reports and financial clearance documents from government counterparts and NGO partners.
- Ensure tracking and documenting of financial and output data for donors, external and internal reporting.
- Act as the alternate focal person to plan for the purchase of non-food items and delivery plans.
- Act as the alternate focal person to plan for food dispatch and food delivery.
- Review quarterly progress reports in School Feeding Information System (SFIS).
- Act as the alternate focal person to plan for cash transfer and clearance processes.
- Assist in translating documents, administration, and organizing meetings, workshops, and missions.
- Work and exchange information with internal counterparts to support effective collaboration, implementation, and monitoring.
- Follow standard emergency preparedness practices.
- Liaise with key staff to track project progress, indicators, and budget utilization.
- Support organizing coordination meetings with internal and external stakeholders.
- Review and analyse data on programme implementation to track programme performance.
- Analyse and track Area Office reports and feedback from the field to put in place corrective actions.
- Liaise with Protection and Inclusion Officer and act as a focal point for gender mainstreaming.
- Act as a point of contact for resolution of general operational queries.
- Stay informed of all developments related to the school feeding programme.
- Collaborate with WFP Country Office communication focal points to support school feeding events.
- Serve as the focal person as note-taker for weekly school feeding meetings and other key meetings.
- Perform other duties as required.
Required Experience
- A minimum of six years in the field of education, social protection or development sectors including project management.
- Experience utilizing computers, including Microsoft Office package (e.g., Word, Excel, Power Point) and other standard software packages and systems.
- Familiarity working with school programme operation, reporting, programme management, monitoring and evaluation processes.
- Experience working with different types of external stakeholders at national and sub-national levels.
Qualifications
- Completion of secondary school education.
- A post-secondary certificate in the related functional area is desirable.
