Overview

Provides assistance to the Chief of Front Office Unit and offers front office services to clients regarding UNSMIS' rules and regulations, applicable procedures, and benefits.


Key Responsibilities
  • Determines IT requirements for the functioning of the Front office Unit and acts as Focal point for the various IT systems in use.
  • Advises the supervisor of staffing requirements, schedules of staff to minimize overtime and the need for temporary assistance.
  • Assists in screening and evaluation of staff prior to recruitment.
  • Assists in drafting proposals on procedures and systems of operation and makes recommendations.
  • Acts as Officer-in-Charge during the absence of the Chief of Unit.
  • Provides accurate information to clients regarding UNSMIS’ rules and regulations, applicable procedures, reimbursable benefits, status of claims, etc.
  • Informs clients about the status of their claims (received, pending, request for information, paid).
  • Physically welcomes UNSMIS’ clients, responds to telephone calls and email queries.
  • Creates work orders in i-Need as necessary.
  • Deals with clients in distress and remains calm in stressful situations.
  • Acts as back-up to Claims Agent who deals with accidents and performs the following duties: Receives and registers all claims concerning accidents; Provides guidance to insured members in respect to third party liability; Prepares necessary documents and communication related to accident.
  • Researches and analyzes problems raised by clients that are related to how claims were processed by Reimbursement agents.
  • If necessary, refers query to Reimbursement agent.
  • Provides follow-up response to clients, for example on adjustments, as required.
  • Drafts various correspondence such as letters, memoranda and emails for UNSMIS.
  • Drafts and issues confirmation certificates, tax confirmations, etc. to clients.
  • Assists with correspondence related to direct payments.
  • Drafts communication in relation to prior authorization requests.
  • Drafts quarterly memoranda regarding After Service Health Insurance to UNSMIS’ client organizations.
  • Files and archives of correspondence.
  • Updates personal data of insured members in UNMIS’ database MIUS.
  • Sorts, reviews and forwards requests for prior authorization to the respective Medical Adviser.
  • Replaces absent colleagues based on the distribution of tasks established within the team.
  • Performs any other tasks as assigned to ensure the efficient functioning of UNSMIS’s client operations.
Required Experience

At least seven (7) years of experience in administrative services, client services, benefits administration or related areas is required. The minimum years of relevant experience is reduced to five (5) for candidates who possess a first-level university degree or higher. At least three (3) years of relevant work experience within the United Nations Common System or similar international organization is desirable. At least two (2) years of experience working with diverse teams is desirable. At least two (2) years of experience working with ERP, such as Umoja is desirable.

Qualifications

High school diploma or equivalent is required.
