Overview

Provide legal assistance and administrative support within the Legal Unit of the United Nations Environment Programme. The role involves conducting research, maintaining legal files, processing legal instruments, and drafting documentation.


Key Responsibilities
  • Conduct basic research on assigned issues and draft statements of findings, respondent replies, and responses to enquiries.
  • Assist in maintaining legal reference files, including classification, coordination with archives, and enhancing records management systems.
  • Review, verify, and process legal instruments, update databases, and monitor follow-up actions.
  • Draft, edit, and finalize specialized documentation, legal publications, and correspondence.
  • Manage individual case files, maintain docket sheets, and ensure proper filing and follow-up of documentation.
  • Handle verbal and written enquiries, providing information on legal processes and procedures.
  • Support the Legal Unit's Intranet page and content management systems.
  • Coordinate ceremonies, meetings, and hearings, ensuring timely distribution of legal instruments.
  • Maintain internal databases for case tracking and trend analysis, and generate reports.
  • Provide general office support, including budget preparation and processing in Umoja.
  • Provide guidance and training to less experienced staff.
  • Serve as back-up to Human Resources assistants, assist in developing Terms of Reference, process vacancy advertisements, complete reference checks, and assist with onboarding.
  • Assist with data collection, analysis, preparation of presentations, and reports.
  • Assist with visualizations and updating information material.
Required Experience

A minimum of seven (7) years work experience in paralegal/legal, administrative or general office experience is required. Experience in working with Office 365 products e.g. SharePoint, Teams, Word, Excel, PowerPoint is required. Experience in the use of Power BI for analyzing and visualizing raw data to present actionable information is desirable. Experience in research, drafting and review of documentation, correspondence and reports is desirable. 1 year or more of experience in data analytics or related area is desirable.

Qualifications

High school diploma or equivalent is required. Supplemental training in law, office administration/management or other relevant field is required.
