Overview

To deliver standard business support processes for the North Field Office, with a specific focus on secretariat and coordination support to the Operational Coordination Group (OCG). The role involves managing the OCG calendar, providing secretariat services, and supporting reporting and information management.


Key Responsibilities
  • Gather information to support the drafting of documents and preparing reports.
  • Respond to queries and escalate where appropriate.
  • Support processing and managing routine administrative and financial tasks.
  • Provide revision and proof-reading services for standard documents.
  • Maintain set standard systems and files.
  • Identify simple discrepancies in statistics and data and report to senior staff.
  • Take responsibility for data integrity.
  • Provide guidance on routine business support methods and practices to junior colleagues.
  • Work with a variety of individuals, taking on feedback where appropriate.
Required Experience

Four (4) or more years of progressively responsible work experience in administrative, secretariat, or coordination support functions, including general administrative work. Previous experience within the UN system, NGOs, or inter-agency coordination structures is desirable. Proven experience in secretariat support, including minute-taking, drafting of correspondence, and follow-up on action points. Strong calendar and meeting management skills, including organizing in-person and virtual meetings and related logistics. Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and virtual meeting platforms (e.g. Microsoft Teams, Zoom). Experience supporting inter-agency coordination mechanisms or working groups within a humanitarian context is desired. Knowledge of the humanitarian coordination architecture and the operational context in North Lebanon and Akkar is desired. Familiarity with WFP or wider UN systems, tools, and procedures is an asset.

Qualifications

Completion of secondary school education. A post-secondary certificate is desirable.
