Overview

The Human Resources Assistant (G6) role supports the Human Resources Management Unit in recruitment, administration of entitlements, staff development, and classification. The position is based in Damascus.


Key Responsibilities
  • Participates in candidate selection, including screening applications, preparing profiles, conducting preliminary interviews, and roster searches.
  • Assists in filling posts, following up on reference checks and verifications, preparing offers of appointment and statements of emoluments.
  • Organizes and coordinates competitive recruitment examinations.
  • Oversees maintenance of vacancy announcement files and tracks their status.
  • Compiles recruitment data and monitors timelines.
  • Reviews personnel actions through ERP (UMOJA).
  • Advises staff on visa and travel arrangements.
  • Advises staff members on claims for entitlements and benefits, and changes in personal status.
  • Maintains and updates reference data related to entitlements and benefits in Umoja.
  • Assists and guides eligible staff with the submission of education grants and tracks the process and payment.
  • Provides logistics and administrative support to trainers.
  • Advises staff members on mandatory training courses and completion rates.
  • Assists in reviewing and processing requests for classification.
  • Provides advice and answers queries on classification procedures.
  • Conducts exit interviews for separating staff and assists with final arrangements.
  • Maintains HR related automated systems and applications, including databases and prepares periodic reports.
  • Undertakes research on HR related issues and assists in preparing notes/reports.
  • Provides general office support services, processes, drafts, edits, proofreads correspondence.
  • Performs budget preparation, input monitoring and implementation in ERP (UMOJA).
  • Sets up and maintains files/records (electronic and paper).
  • Schedules appointments/meetings, monitors deadlines.
  • Responds to queries on performance management policy and tool.
  • Monitors completion of performance reports.
  • Monitors attendance and absences of staff members and updates attendance records.
  • Maintains the staffing table with related updates.
  • Monitors extensions of appointments and assists with documentation.
  • Prepares written responses to queries concerning HR related matters.
  • Trains and provides supervision to new and lower-level staff.
  • Assists with data collection and analysis, preparation of data presentations and reports.
  • Assists with visualizations and updating information material.
  • Performs other duties as required.
Required Experience

A minimum of (7) seven years of progressively responsible experience in human resources management, administrative services or related area is required. The minimum year of relevant experience is reduced to five (5) for candidates who possess a first-level university degree or higher. At least two (2) or more years of experience using an Enterprise Resource Planning (ERP) systems such as SAP (UMOJA) is desirable. Experience using INSPIRA for the recruitment of staff and non-staff is desirable.

Qualifications

High school diploma or equivalent is required.
