Overview
The Assistant WR role involves supporting the WHO Representative's office by managing calendars, correspondence, travel arrangements, and maintaining records. The position aims to ensure effective WHO country presence aligned with Member State agendas.
Key Responsibilities
- Arrange and maintain WR's calendar of appointments and meetings.
- Receive, screen, and route correspondence; undertake information searches.
- Compile briefing materials for the Representative.
- Maintain contacts with external partners and sister UN agencies.
- Draft routine correspondence, type documents, and prepare presentations.
- Organize WR's travel, including raising travel requests and obtaining visas.
- Ensure timely renewal of WR's residency permits and other personal documents.
- Maintain and update the WR's library, contact lists, and confidential files.
- Take proactive follow-up action and keep the WR informed.
- Respond to or direct inquiries to the appropriate Unit.
- Assist in the issuance of SSA agreements and follow up on reports.
- Update WCO Lebanon social media networks.
- Assist in administrative matters and meetings, and brief junior staff.
Required Experience
At least eight years' progressive secretarial/administrative experience. Relevant experience in the UN system is desirable.
Qualifications
Essential: Completion of secondary school, secretarial training and Computer Training. Desirable: University degree in business administration, social sciences or related field is an asset.
