Overview
The Assistant Administratif (G3) will support the management, stock control, distribution, and tracking of non-food items (NFI) and office supplies to ensure their timely availability and traceability within WFP operations.
Key Responsibilities
- Maintain inventory records of all NFI and office supplies using WFP systems and tools.
- Conduct regular physical inventories and reconcile discrepancies.
- Monitor stock levels and initiate replenishment requests.
- Ensure proper classification, labeling, and organization of stocks.
- Assist in preparing purchase requests for NFI and office supplies.
- Track the status of purchases and coordinate with procurement units.
- Verify received items against purchase orders.
- Ensure appropriate storage conditions for NFI and office supplies.
- Maintain safe, secure, and orderly storage facilities.
- Support stock issuance processes and associated documentation.
- Process and track supply and NFI requests from various units.
- Ensure timely distribution and maintain adequate documentation.
- Monitor consumption trends and identify potential inefficiencies.
- Maintain accurate and up-to-date records (manual and electronic).
- Prepare periodic reports on stock and consumption.
- Support audits by providing required documents and explanations.
- Ensure compliance with WFP administrative, financial, and procurement rules.
- Implement internal control measures to prevent losses, abuse, or fraud.
- Report any anomalies or irregularities to the supervisor.
- Provide general administrative support to the office as needed.
- Contribute to the logistical coordination of office activities and events.
- Maintain filing and documentation systems.
Required Experience
Minimum of 3 years of relevant experience in administration, stock management, or logistics. Experience with stock management systems is desirable. Experience within international organizations or NGOs is an advantage.
Qualifications
Secondary school leaving certificate. A certification in administration, logistics, or supply chain is an asset.
